When you register for THILAK HRMS, we collect your name, email address, company name, and phone number. As you use the platform, we collect employee records, attendance data, leave records, payroll information, and other HR-related data necessary to provide the service. We also automatically collect technical data such as IP address, browser type, and usage patterns to improve our service.
How We Use Information
We use the information we collect to operate, maintain, and improve THILAK HRMS. This includes processing payroll, managing attendance, generating reports, communicating with you about your account, providing customer support, and complying with legal obligations. We do not sell your personal data to third parties.
Data Retention
We retain your data for as long as your account is active or as needed to provide you services. After account termination, we retain data for 90 days to allow for data export, after which it is permanently deleted. Statutory records may be retained longer as required by Indian labour laws (typically 3-8 years depending on the record type).
Data Security
We implement industry-standard security measures including encryption at rest and in transit, regular security audits, access controls, and automated backups. Our infrastructure runs on AWS with strict network security policies. Despite these measures, no system is 100% secure, and we encourage you to use strong passwords and maintain the confidentiality of your login credentials.
Third-Party Services
THILAK HRMS integrates with third-party services including Razorpay (payment processing), SendGrid (email delivery), and AWS (cloud infrastructure). Each third party has its own privacy policy governing data handling. We only share data necessary for these services to function.

We use essential cookies for authentication and session management. We also use analytics cookies to understand how the platform is used. You can control cookie settings through your browser preferences. Disabling essential cookies may prevent the platform from functioning correctly.
